Food Safety

The Food Safety section consists of Temperature Incidents, Task Exceptions, and Task Management. Please note that the functions in this section will vary based on the type of equipment you have. Temperature Incidents highlight alert incidents and gives increased detail in a summary format via a table similar to the previous topics. Task Exceptions looks at how often the items setup in Task Management are fulfilled and provides a link to a download to assist with HACCP reporting. Task Management is where you set up a template with individual tasks for locations. Selecting different sections will display different features above the table. 

 

When no options in the table are selected: 

  • Add Task Report Template: creates a new template that can be assigned to locations 

If you highlight a row with a template (shown by the small clipboard symbol on the left side): 

  • Add Group: creates a new group within a template 

  • Assign to Locations: applies the template to specific locations 

  • Clone: duplicates the chosen template so that modifications can be made for a different use case 

  • Edit Task Report Template: change the template name, description, and basic settings 

  • Delete Task Report Template: permanently delete the template 

Clicking on a group (shown by the blue connection column on the left): 

  • Add Task: creates a new task within the group 

  • Move Up: moves the group up in the list within the group (just cosmetic/preference) 

  • Move Down: moves the group down in the list within the group (just cosmetic/preference) 

  • Edit Task Group: change the name or description of the group 

  • Delete Group: permanently delete the group from the template 

Clicking on a task (shown within the scheduled table under the task group): 

  • Edit Task: change details or schedule for the task (changing Basics settings requires new task to be created and have the old one deleted) 

  • Move Up: moves the task up in the list within the group (just cosmetic/preference) 

  • Move Down: moves the task down in the list within the group (just cosmetic/preference) 

  • Delete Task: permanently delete the task within the group 

 

When creating a new task (under a group within a template), three different tabs need to be populated before the task is created. For the first tab, only Temperature – Manual and Manual Check will likely be available. The automatic temp sensors and the Bluetooth option are separate products. The following are the steps to set up the two available configurations. 

 

Temperature – Manual 

- Details 

  • Set Corrective Action Threshold: set the upper acceptable temperature and the lower acceptable temperature, all temperatures outside of this range will trigger the Corrective Actions 

  • Corrective Actions: a text field that will display when a user enters data that registers data outside of the acceptable range with an optional description 

- Schedule 

  • Time Period: set start and end times for when you expect this task to be completed 

    • There is an accompanying set of boxes representing the days of the week. Unchecking a box will remove the task from that day for this time block.  

    • After entering a start and end time, a new row will appear to enter different start and end times. This is primarily used to have the task repeat multiple times a day or at different times for different days of the week. 

    • Times here are calculated by location based on the local time for the location’s entered address. 

Manual Check 

- Details 

  • Manual Check Options: set the text for the task, give an optional description, set the report color, and decide if the action is required or can be skipped 

- Schedule 

  • Time Period: functions that same as it does in Temperature – Manual above 

Scheduled tasks will have their time periods appear on the table with blue blocks as shown below.

The Task Exceptions table will summarize how often tasks and corrective actions are carried out and completed. Each task for each location has a downloadable HACCP report located on the right side that will provide the most recent version of the full report for that location.
